A dispatch handoff passes a captured service request and its context to the team that coordinates field work. For a home service operator, it should carry the address, issue, priority, scheduling state, and any customer commitments. A useful handoff establishes who owns the request next and whether the receiving team has accepted it.
What is a dispatch handoff?
It is the transition from customer intake to the team responsible for arranging or coordinating field work. The handoff may occur through a job record, task, or acknowledged alert. It should state whether dispatch is reviewing a request or receiving an already confirmed reservation.
What information should a handoff include?
Include the customer's contact details, service location, reported job, urgency, requested timing, booking status, and relevant access notes. Add what the intake workflow already told the customer. A transcript can be attached, but dispatch should not need to read it all to identify the next action.
How is dispatch handoff different from a warm call transfer?
A dispatch handoff transfers operational responsibility and data. A warm transfer connects a live caller to a person after an introduction or context briefing. A request can reach dispatch without a live call, and a live transfer can fail to create a usable job record.
What if dispatch does not acknowledge the request?
Keep the item pending and use an approved alert or escalation route. Record delivery separately from acceptance. If the customer is waiting for a confirmed response, the workflow needs an owner who can communicate the actual state rather than assume somebody else has taken over.
How should dispatch handoff quality be measured?
Review complete intake fields, acknowledged ownership, time to next action, and contradictions between the customer's message and the job record. Track requests that dispatch had to requalify. A handoff is successful when the receiving team can act accurately, not simply when data was sent.
